Building Management & Collaboration Tools for Communications Teams - Helping Communications Teams Work Smarter, Faster and Together

For modern communications teams, efficiency can make the difference between being heard and being overlooked. As teams grow across regions, functions and time zones, disconnected systems can lead to duplicated content, missed opportunities, conflicting activities and valuable information getting lost. The Tantalus Group helps communications teams build simple, practical management and collaboration tools that improve how people plan, create, share and measure their work. Better collaboration means less duplication, greater efficiency and more time to focus on communications that drive results.

What are Management & Collaboration Tools?

This practice focuses on building better processes and digital tools that make communications teams more efficient, connected and effective. Our approach helps eliminate unnecessary duplication, improve access to content and create a more connected way of working — whether teams are working in the same office or across the world. The right tools can help teams:

  • Plan communications activities in one shared environment
  • Find and reuse existing content instead of recreating it
  • Share guidance and information across regions
  • Reduce conflicting or duplicated activities
  • Recognize and learn from successful communications work
  • Collaborate more effectively across distributed teams

The goal is not technology for technology’s sake. It is about using simple tools to solve real communications problems.

Where Communications Teams Lose Time

As global communications teams grow, regional and functional groups can become increasingly siloed. Without the right systems in place, teams may duplicate content because they cannot see what others are developing, spend valuable time searching through emails and attachments, or miss opportunities to learn from successful work happening elsewhere. Teams can also lose visibility into upcoming announcements, campaigns and events, creating unnecessary conflicts and administrative work. The result is more time spent managing information and less time spent creating meaningful communications.

Planning & Visibility

Creating a clearer view of communications activity

A shared, searchable communications calendar gives teams visibility into upcoming announcements, campaigns, events and other activities. Instead of every region maintaining its own independent calendar, teams can see what others are planning and identify opportunities to coordinate, collaborate or avoid duplication. A well-designed planning system can help teams identify scheduling conflicts, reduce duplicated content development and organize activities by region, audience or topic. The objective is simple: give everyone a clearer view of what is happening across the organization.

Content Sharing & PR Guidance

Creating one connected communications environment

Strong communications depend on having the right information available at the right time. We help organizations establish practical systems for sharing communications guidance, content and digital assets across teams. One approach is the use of PR Alerts — a structured way of sharing confidential communications updates, guidance and relevant content with the right people across an organization. These systems can be supported by a single, searchable content archive, giving teams one reliable place to find current documents, speeches, images, videos and other communications materials. This helps organizations:

  • Reduce reliance on email attachments
  • Keep content current and accessible
  • Make existing materials easier to discover
  • Increase content reuse
  • Reduce duplicated content creation
  • Improve consistency across teams

When content is easy to find, it becomes easier to share, adapt and use again.

Measurement & Recognition

Turning great communications work into shared learning

Traditional communications measurement often focuses heavily on volume. But the number of stories or media placements does not always tell you whether communications are making an impact. We help teams develop simple ways to identify, measure and recognize high-quality communications outcomes. One example is a Top Story program, where communications teams regularly submit their strongest work against agreed criteria. Leadership can then recognize effective examples and use them as a source of best practices. This encourages teams to look beyond volume, understand what is actually working and share successful approaches across the organization.

The Tantalus Approach

Technology alone does not transform the way a communications team works. The process, people and culture around the technology matter just as much. Based on years of experience implementing collaboration systems within large international organizations, we focus on a few key principles:

  • Start with the real problems: We speak with people across the organization to understand where time is being lost, where information gets stuck and what teams actually need.
  • Keep it simple: We prioritize solutions that are intuitive, flexible, easy to maintain and quick for teams to adopt.
  • Work with IT from the beginning: Tools need to fit within an organization’s existing technology, security and infrastructure.
  • Build adoption through training: Even the best system will not work if people do not know how or why to use it.
  • Create a culture of sharing: Great communications work can happen anywhere. Our tools help make that work visible, discoverable and reusable.
  • Treat it as change management: Introducing new tools is ultimately about changing how people work. We help teams move from siloed processes toward more connected ways of working.

The challenge for communications teams is rarely a lack of technology. More often, it is knowing how to use technology to create better ways of working. The Tantalus Group brings together communications, technology and change-management experience to help organizations move from fragmented processes to connected systems, from initial concept through implementation, training and adoption. The result is more than a new tool. It is a better way for communications teams to work together.
